Choosing a supplier

What paperwork should a supplier publish?

⚡ Short answer

At minimum: who the business is and how to reach it, a certificate of analysis for each batch with the batch number, the name of the lab that did the testing, and a way to check each report with that lab. UK online sellers also have legal duties to show certain business details.

Who the business is

UK rules on selling online say a business must make these details easy to find:

Its name and the geographic address where it is based.
Contact details, including an email address, so you can reach it directly.
Its registration number, if it is on a public register such as Companies House.
Its VAT number, if it is VAT registered.

Extra details for UK limited companies

GOV.UK says a limited company must show its registration number, registered office address, where it is registered (England and Wales, Scotland or Northern Ireland) and that it is a limited company, on its website as well as on letters and order forms. You can check those details against the Companies House register.

Testing paperwork

The good manufacturing practice guideline ICH Q7 sets out what a full certificate of analysis contains. It is written for medicine makers, but it is a useful yardstick:

One certificate for each batch, showing the batch number.
The product name and the date of release, plus an expiry or retest date where there is one.
Every test done, with its acceptance limit and the actual numerical result.
A date, a signature, and the name, address and phone number of whoever made or tested it.

How it is presented

A careful supplier publishes certificates batch by batch, names the lab, and gives the details needed to check each report with that lab. It also keeps to research-use wording. In the UK, a product presented for use in people can be treated as a medicine, which needs a licence from the MHRA.
